The following options are available on the Activities - Brochure Export page:

Radio buttons

Select one of the following options:

 

  • InDesign Tagged: Select this option to export your brochure information as a .txt file that you can then import into Adobe InDesign.

  • XPress Tagged: Select this option to export your brochure information as a .xtg file that you can then import into Quark XPress.

 

Once you have selected a file format, the default Page Header, Prefixes, and Suffixes in the Options section below automatically update to work with the software that you have selected.

Filters

Specify any filters that you want to use to narrow down the activities that will be included in your brochure export.

Activity Name

Text

Full or partial name of the activity.

Activity Number

Text

Full or partial number of the activity.

Department

Text

The department of the activity.

Activity Category

Dropdown list

The category of the activity.

Activity Other Category

Dropdown list

The activity other category of the activity.

Activity Type

Dropdown list

The activity type of the activity.

Supervisor

Dropdown list

The supervisor of the activity.

Instructor

Dropdown list

The instructor of the activity.

Activity Site

Dropdown list

The site assigned to the activity.

Facility

Dropdown list

Facility where the activity is being held.

Available Seasons

List

List of seasons that can be included in the catalog filter criteria.

 

To include a season in the catalog filter criteria, select a season, then click the right-pointing arrow to move it to the right box.

Selected Seasons

List

List of seasons that have been included in the catalog filter criteria.

 

To remove a season from the catalog filter criteria, select a season, then click the left-pointing arrow to return it to the left box.

Activity Start Date

(From, To)

Date

Range of activity start dates.

Activity End Date

(From, To)

Range of activity end dates.

Registration Start Date

(From, To)

Date

Range of activity registration start dates on the staff (admin) site.

Registration End Date

Status

Dropdown list

The status of the activity.

Options

Export Language Dropdown list Select the language in which to export the brochure.
Page Header Text The text of the Page Header is inserted at the beginning of the brochure export. It corresponds to the File Format that you have selected above.
 
You can modify the default Page Header text if you want to change its content prior to exporting your brochure information. Refer to the documentation for your publishing software for more information about understanding and modifying specific syntax.
Include Dropdown list Specify whether you want to include activities, sub-activities, or both in your brochure export:

  • Activities and Sub-Activities: Default option.

  • Activities Only: Only activities that have no parent activities are included in the export.

  • Sub-Activities Only: Only activities that have a parent activity are included in the export.

Sort by

The Sort by subsection determines how the activities in your brochure export are categorized. You can group your activities by activity category, activity other category, or both.

 

For example: To group your activities first by activity category and then by activity other category, select Activity Category for the Fields column in the first row, and select Activity Other Category for the Fields column in the second row. In the exported brochure, all the activities with the same category will be grouped together, and within each of those groups all of the activities with the same activity other category will also be grouped together.

Prefix Text The Prefix text corresponds to the File Format that you have selected above.
 
You can modify the default Prefix text if you want to change its content prior to exporting your brochure information. Refer to the documentation for your publishing software for more information about understanding and modifying specific syntax.
Label Text Enter any text that you want to insert as a label in front of this field.
 
For example: If one of your activity categories is called "Fitness", and you choose a label of "Category:", then in your brochure all of your fitness activities will be grouped under the heading: "Category: Fitness".
 
If you do not want any label text to appear in front of your category names, leave this box blank.
Fields Dropdown list Specify whether you want to group your activities by Activity Category and/or by Activity Other Category.
 
The activities will be grouped according to the order of the Fields that you specify. The most common configuration is to group first by Activity Category and second by Activity Other Category.
Suffix Text The Suffix text corresponds to the File Format that you have selected above.
 
You can modify the default Suffix text if you want to change its content prior to exporting your brochure information. Refer to the documentation for your publishing software for more information about understanding and modifying specific syntax.

Group Activities by

The Group Activities by subsection determines the next category to use to group your brochure activities within the categories that you specified in the Sort by section above.

 

For example: If you used the Sort by section to specify that your first level brochure heading is the Activity Category and the second level brochure heading is the Activity Other Category, then you can use the Group Activities by section to specify a third level brochure heading such as Activity Name.

 

In this example, if for each activity name in the brochure you want to display both the name and then the description, then select Activity Name for the Fields value in the first row, and Description for the Fields value in the second row. The exported brochure will group all activities that have the same activity name and description together and will display them in categories using the activity name as the heading and the description on the next row.

 

Activity names will be sorted alphabetically within each category.

Prefix Text The Prefix text corresponds to the File Format that you have selected above.
 
You can modify the default Prefix text if you want to change its content prior to exporting your brochure information. Refer to the documentation for your publishing software for more information about understanding and modifying specific syntax.
Label Text Enter any text that you want to insert as a label in front of this field.
 
For example: If one of your fields is Activity Name and its label is "Name:", then each activity name that appears as a group heading in your brochure will have the text "Name:" in front of it.
 
If you do not want any label text to appear in front of your field names, leave this box blank.
Fields Dropdown list Specify Fields in the order that you want them to display in the export.
 
To specify additional fields, click the + button to the right of an existing row.
Format Dropdown list The Format list displays only in some cases, depending on what you have selected in the Fields value to the left.
 
If the Format list is available, then you can use it to specify the format that you want to use to display the value in the Fields column.
Suffix Text The Suffix text corresponds to the File Format that you have selected above.
 
You can modify the default Suffix text if you want to change its content prior to exporting your brochure information. Refer to the documentation for your publishing software for more information about understanding and modifying specific syntax.
Visible Checkbox Specify whether or not you want this field to be visible in your brochure export.
 
For example: If you want to select a field to group your activities but not display that field in the export, then clear this checkbox.
+/x Buttons

Click + to add a new row after the current row so that you can specify a new field.

 

Click x to delete the current row.

Group Activities further by

Use the Group Activities further by subsection to group your activities within the categories that you specified in the Group Activities by section above.

 

For example: If you have selected Activity Name and Description as your Fields in the Group Activities by section above, and if you have multiple activities with the same activity name and description, then you can use the Group Activities further by section to further group these activities by age within each activity name category. To do this, select Ages as the Fields value in the first row. In this example, all activities for ages 6 years to 9 years will appear together, and all activities for ages 10 years to 12 years will appear together.

 

In this example, specify additional fields for any information that you want to appear next to the ages in the group header, such as Key Fees Total and Number of Dates.

 

The groups that you specify here will be sorted alphabetically according to the values in the Fields column: sorting first by the value in the first row, then by the value in the second row, and continuing on until the final row.

Activities Columns

Use this section to display any additional information about your activities that has not already been included in one of the group fields above. This information will appear in columns within the group categories that you have specified.

 

For example: If row 1 = Weekdays, row 2 = Start Date, row 3 = Start Time, row 4 = End Time, row 5 = Location, row 6 = Activity Number, then weekdays will appear in the first column, followed by the start date, start time, end time, location, and lastly the activity number.

 

Within each of the groups that you specified above, activities will be sorted alphabetically according to the field that you specify the Sort by option for. In this example, if you select the Sort by option for the Location row, then the activities will be sorted alphabetically by location in the brochure.

Label Text Enter any text that you want to insert as a label for this field. The label will appear as a column header.
 
For example: If one of your fields is Location and its label is "LOCATION", then each activity in your brochure will display its location in a column with "LOCATION" as a column header.
 
If you do not want any label text to appear as a header for this column, leave this box blank.
Fields Dropdown list Each field corresponds to a column of information. Specify Fields in the order that you want them to display in the export.
 
To specify an additional column, click the + button to the right of an existing row.
Format Dropdown list The Format list displays only in some cases, depending on what you have selected in the Fields value to the left.
  
If the Format list is available, then you can use it to specify the format that you want to use to display the value in the Fields column.
Suffix Text The Suffix text corresponds to the File Format that you have selected above.

Sort by

Radio button Specify the field/column that you want to use to sort your activities.
