The following options are available on the Programs - Brochure Export page:

Select one of the following options:

 

  • InDesign Tagged: Select this option to export your brochure information as a .txt file that you can then import into Adobe InDesign.

  • XPress Tagged: Select this option to export your brochure information as a .xtg file that you can then import into Quark XPress.

 

Once you have selected a file format, the default Page Header, Prefixes, and Suffixes in the Options section below automatically update to work with the software that you have selected.

Filters

Specify any filters that you want to use to narrow down the programs that will be included in your brochure export.

Program Name

Text

Full or partial name of the program.

Program Type

Dropdown list

Type of the program.

Catalog Number

Numeric

Program number, following the standard format for activities and daycare programs.

Status

Dropdown list

Filter the export based on the status of the daycare program.

Department

Dropdown list

Filter the export based on the daycare program department.

Daycare Category

Dropdown list

Category of the program.

Daycare Other Category

Dropdown list

Daycare other category of the program.

Supervisor

Dropdown list

Supervisor of the program.

Program Site

Dropdown list

Site assigned to the program.

Options

Export Language Dropdown list Select the language in which to export the brochure.
Page Header Text The text of the Page Header is inserted at the beginning of the brochure export. It corresponds to the File Format that you have selected above.
 
You can modify the default Page Header text if you want to change its content prior to exporting your brochure information. Refer to the documentation for your publishing software for more information about understanding and modifying specific syntax.

Sort by

The Sort by subsection determines how the programs in your brochure export are categorized. You can group your programs by program category, other category, or both.

 

For example: To group your programs first by program category and then by other category, select Daycare Category for the Fields column in the first row, and select Daycare Other Category for the Fields column in the second row. In the exported brochure, all the programs with the same category will be grouped together, and within each of those groups all of the programs with the same other category will also be grouped together.

Prefix Text The Prefix text corresponds to the File Format that you have selected above.
  
You can modify the default Prefix text if you want to change its content prior to exporting your brochure information. Refer to the documentation for your publishing software for more information about understanding and modifying specific syntax.
Label Text Enter any text that you want to insert as a label in front of this field.
 
For example: If one of your program categories is called "After School", and you choose a label of "Category:", then in your brochure all of your after school programs will be grouped under the heading: "Category: After School".
 
If you do not want any label text to appear in front of your category names, leave this box blank.
Fields Dropdown list Specify whether you want to group your programs by Daycare Category and/or by Daycare Other Category.
  
The programs will be grouped according to the order of the Fields that you specify. The most common configuration is to group first by Daycare Category and second by Daycare Other Category.
Suffix Text The Suffix text corresponds to the File Format that you have selected above.
  
You can modify the default Suffix text if you want to change its content prior to exporting your brochure information. Refer to the documentation for your publishing software for more information about understanding and modifying specific syntax.

Program Information

The Program Information subsection determines the next category to use to group your brochure programs within the categories that you specified in the Sort by section above.

 

For example: If you used the Sort by section to specify that your first level brochure heading is the Daycare Category and the second level brochure heading is the Daycare Other Category, then you can use the Program Information section to specify a third level brochure heading such as Program Name.

 

In this example, if for each program name in the brochure you want to display both the name and then the description, then select Program Name for the Fields value in the first row, and Catalog Description for the Fields value in the second row. The exported brochure will group all programs that have the same program name and description together and will display them in categories using the program name as the heading and the description on the next row.

 

Program names will be sorted alphabetically within each category.

Prefix Text The Prefix text corresponds to the File Format that you have selected above.
  
You can modify the default Prefix text if you want to change its content prior to exporting your brochure information. Refer to the documentation for your publishing software for more information about understanding and modifying specific syntax.
Label Text Enter any text that you want to insert as a label in front of this field.
 
For example: If one of your fields is Program Name and its label is "Name:", then each program name that appears as a group heading in your brochure will have the text "Name:" in front of it.
 
If you do not want any label text to appear in front of your field names, leave this box blank.
Fields Dropdown list Specify Fields in the order that you want them to display in the export.
  
To specify additional fields, click the + button to the right of an existing row.
Format Dropdown list The Format list displays only in some cases, depending on what you have selected in the Fields value to the left.
 
If the Format list is available, then you can use it to specify the format that you want to use to display the value in the Fields column.
Suffix Text The Suffix text corresponds to the File Format that you have selected above.
 
You can modify the default Suffix text if you want to change its content prior to exporting your brochure information. Refer to the documentation for your publishing software for more information about understanding and modifying specific syntax.
Visible Checkbox Specify whether or not you want this field to be visible in your brochure export.
  
For example: If you want to select a field to group your programs but not display that field in the export, then clear this checkbox.

Click + to add a new row after the current row so that you can specify a new field.

 

Click x to delete the current row.

Group Sessions by

Use the Group Sessions by subsection to group your programs within the categories that you specified in the Program Information section above.

 

For example: If you have selected Program Name and Catalog Description as your Fields in the Program Information section above, and if you have multiple programs with the same program name and description, then you can use the Group Sessions by section to further group these programs by session within each program name category. To do this, select Session Name as the Fields value in the first row. In this example, all sessions with the same name will appear together.

 

In this example, specify additional fields for any information that you want to appear next to the session name in the group header, such as the Session Description.

 

The groups that you specify here will be sorted alphabetically according to the values in the Fields column: sorting first by the value in the first row, then by the value in the second row, and continuing on until the final row.

Session Columns

Use this section to display any additional information about your program sessions that has not already been included in one of the group fields above. This information will appear in columns within the group categories that you have specified.

 

For example: If row 1 = Weekdays, row 2 = First Date, row 3 = Beginning Time, row 4 = Ending Time, and row 5 = Facility, then weekdays will appear in the first column, followed by the first date, beginning time, ending time, and lastly the facility.

 

Within each of the groups that you specified above, program sessions will be sorted alphabetically according to the field that you specify the Sort by option for. In this example, if you select the Sort by option for the Facility row, then the program sessions will be sorted alphabetically by location in the brochure.

Prefix Text The Prefix text corresponds to the File Format that you have selected above.

Label Text Enter any text that you want to insert as a label for this field. The label will appear as a column header.
 
For example: If one of your fields is Facility and its label is "LOCATION", then each session in your brochure will display its location in a column with "LOCATION" as a column header.
 
If you do not want any label text to appear as a header for this column, leave this box blank.
Fields Dropdown list Each field corresponds to a column of information. Specify Fields in the order that you want them to display in the export.
  
To specify an additional column, click the + button to the right of an existing row.
Format Dropdown list The Format list displays only in some cases, depending on what you have selected in the Fields value to the left.
   
If the Format list is available, then you can use it to specify the format that you want to use to display the value in the Fields column.
Suffix Text The Suffix text corresponds to the File Format that you have selected above.

Sort by

Radio button Specify the field/column that you want to use to sort your program sessions.
