Importing a pass/fail file

Pass/Fail file import is a utility you can use to import your existing Pass/Fail records from a CSV file. ACTIVE Net provides the option to manually enter the customer or company records on an individual basis.

 

If implementing ACTIVE Net from an existing computerized system, your agency may choose to import the customer or company records so that they do not need to be manually entered. Importing your customers or companies can save significant time when starting with ACTIVE Net and reduce rework.

 

Pre-condition:

  1. Before you import a CSV file to update the Pass/Fail fields, you must enable Use Pass or Fail in the options section under Administration > Registration Settings > Activity: XXX > Activity Detail.

  2. Setup a SFTP site with account information.  Once the SFTP site has been created, contact the ACTIVE Net customer support to request an exception in the firewall.

  3. You must prepare the CSV file. The format of the CSV file is:

The following fields can be included in the Pass or Fail record:

 

Note: Fields with an (*) are required.

 

Field Name Type Description
CustomerID*

Numeric

Unique numeric identifier for customer.

ActivityNumber* Text

Unique identifier for Activity.

The activity number must 20 digits or less.

Note:  Pass/Fail files cannot be imported for Retired activities.

Grade (optional) Text Name of the Grade.
  1. Go to Administration > Registration Settings > Grades – Pass/Fail.
  2. Check whether the grade you are using exists. If not, create a new grade.
  3. Check whether the grade you are using is designated with Pass or Fail. If not, designate the grade with Pass or Fail.

Percentage (optional) Numeric Exact grade percentage for the participant (For example, 95.5%).
Format: XXX.XXX
Note:
  • Up to 3 decimal digits.
  • Active Net displays 2 decimal digits. If you enter 3 decimal digits,  the percentage will be rounded to 2 decimal digits.
Date (optional) Date
 
The date when the participant either passed or failed the activity.
Format: MM/DD/YYYY

Note: For one activity roster, if the same registrants (same CustomerID) have multiple records with different grades/percentage/date values in the CSV file, Active Net will not import the file due to the conflict.

 

To save the configuration and import pass and fail file periodically, execute the following steps:

 

    1. Go to Administration > Registration Settings > Activities - Pass/Fail Import.

    2. From the Frequency dropdown list, select how often you want to import the CSV file (Daily, Weekly, or Monthly).

    3. Depending on the frequency you select, enter the time / day of week/day of month to import the file. .

    4. In the SFTP Address field, enter the SFTP address of the CSV file.

    5. In the Port field, enter the port number of SFTP server.

    6. Enter the User name and Password for the SFTP server.

    7. (Optional) To notify staff when the CSV file is imported, in the Send Notification Email to text box, enter one or more email addresses separated by commas.

    8. Click Save.

 

To import the pass and fail file now, execute the following steps:

  1. Go to Administration > Registration Settings > Activities - Pass/Fail Import.

  2. From the Frequency dropdown list, select Never.

  3. In the SFTP Address field, enter the SFTP address of the CSV file.

  4. In the Port field, enter the port number of SFTP server.

  5. Enter the User name and Password for the SFTP server.

  6. (Optional) To notify staff when the CSV file is imported, in the Send Notification Email to text box, enter one or more email addresses separated by commas.

  7. Click Import Now.
