Activity status change

The status of an activity determines where it is found and what you can do to it.

 

You can change the status of an activity individually at the activity level or by batch on the Retire Activities page or the Activity Status Change page (for Open/Closed activities).

Available statuses are:

You can use the following criteria in your search:

Select the parent season when the activity is scheduled.

Select the child season when the activity is scheduled.

The site assigned to the activity.

The following options are included on the activity list page:

Checkbox

Select this option to change the status of the activity to the new status specified in the New Status field below the activity list.

Retire? (only found in Retire Activities page)

Checkbox

Select this checkbox to retire the activity.

 

If you have specified a new season in the New Season box below the activity list, the activity is copied/rolled over to the new season with a status of Tentative.

Select all

Hyperlink

Option to select all listed activities for either a status change or retirement.

 

Click the link to select Retire? or Change? checkboxes for all activities.

Deselect all

Hyperlink

Option to deselect all listed activities.

  

Click the link to deselect Retire? or Change? checkboxes for all activities.

Update Starting From Price

Update Starting From Price

Button

To update the Starting from prices (by which consumers in the CUI can search for activities) of the selected activities, click this button and then edit the Starting from prices as required.

Activity Status Change

New Status (only found in Activity Change Status page for Activities - Update)

Dropdown list

Select the new status to change the selected activities to:

  • Open

  • Closed

  • Cancelled

  • Tentative

  • On Hold

  • Deleted

Hide on Internet (only found in Activity Change Status page for Activities - Update)

Checkbox

Select this checkbox to exclude selected activities from the list of activities displayed on the customer (public access) site.

 

Use this option to hide activities on the customer site even if their status allows them to be displayed.

 

For example: Closed and Cancelled activities still display on the customer site even though they are not available for registration, and are not displayed on the staff site.

Set First Date/Time To Display Online

Checkbox, date and time

Select this checkbox to update the date on which customers in the CUI can first see the activities and then configure the new date and time.

Also set Registration Windows for selected activities

Checkbox

Select this checkbox to enable the Activity Registration Windows option so that you can change the registration dates/times for activities.

New Season (only found in Retire activities)

Dropdown list

The new season where retired activities are copied/rolled over to with a status of Tentative.

 

If you don't want activities to roll over, leave the New Season field blank.

Activity Registration Windows

To change the date/times for the activities:

  1. Select the Also set Registration Windows for selected activities? checkbox to display the Activity Registration Windows section.

  2. Add a registration window byu clicking the Add Reg Window button.

  3. In the Registration Window, select either the Use exact dates or the Use number of days before activity start option.

  4. Fill in the First Date/Time in Person, (Non-residents), (Members), Last Date/Time in Person, First Date/Time To Be Open Online, (Non-residents), (Members), and Last Date/Time To Be Open Online boxes. If you have selected the Use exact dates option, you can also click the calendar.JPG button to select the date.

  5. Click Submit to submit the changes for the activities.

 

Tips:

  • Click Add Reg Window to add a new Registration Window.

  • If the customer is qualified for the returning participants criteria, then you can select Allow priority registration for returning participants to display the Priority Registration Window. Then follow the above steps (1-4).

Activity General Settings Change

Ignore Online Quota?

Dropdown list

To start disregarding online quotas for the selected activities, select Ignore Online Quota.

 

When you have activities whose online quotas are full but that still have spots available after the initial registration rush, use this option to open up any remaining spaces to both online users and in-person customers.
