Prep codes are attached to permits and used to determine the time before and after a booking that should be blocked off for setup or cleanup. This time is not billed to the customer.
Prep codes can be automatically assigned to event types so that the user does not need to choose during the reservation process.
Additionally, if a reservation is booked over the customer site, there is no option to select a prep code and therefore one would need to be attached to the event type if needed.
Select the Administration tab.
Select the following menu links: Facility Settings > Prep codes.
To add
From the Prep Code List page, clicking Add New brings you to the Change Prep Code Detail page, allowing you to create a new record.
To modify
From the Prep Code List page, clicking an underlined prep code Description displays the Change Prep Code Detail Item page, allowing you to make any necessary changes.
On the Change Prep Code Detail Item page, you will find the following input fields, with the option to Save or Delete the record at the bottom of the page:

The site selected will be the only site where the prep code can be used, unless the user has multi-site permission. Selecting All Sites will make the prep code available to all sites. |
Setup Time | Numeric | The number of minutes to be blocked off prior to a booking for facility preparation. |
Teardown Time | Numeric | The number of minutes to be blocked off after a booking for facility cleaning. |
Note | Text | Any notes to explain what preparation or cleaning needs to
be done for the facility. Up to 20000 characters.
This note will print on scheduling reports and on the customer contract. For example: Tables and chairs will be set up prior to booking start. |
