A/R summary report

This report lists account receivable summaries for each customer in each revenue site. It displays the customer name, address, phone number, and their total account balance (or credit on account, if applicable).

 

Note: Customers' balance and credit on account amounts exclude linked credit.

Save Report Definition

 

Clicking the Recall / Schedule a saved report definition button at the top of the page takes you to the Report Definitions page, where you can select a previously saved report definition.

 

The following fields are available on the A/R Summary Report page:

The following filters are available on the A/R Summary Report page: Customer, Customer Type, Company, Parent Season, Child Season, Revenue Site, Transaction Site, A/R Transaction Date Range, Alternate Key Value, Package, Daycare Program Type, Daycare Program and Event Types.

Options

Group By Revenue Site

Checkbox

Option to group the customers by revenue site.

 

If selected, sub-totals will be calculated for each revenue site.

To group A/R amounts by family on the report, select Show A/R Summary based on Family.
 
Note: If the customer belongs to multiple families, each family is displayed on the report, in alphabetical order. A/R is counted separately for each family (displayed as a family total), but not double-counted when calculating subtotals or the grand total.

Include Transaction Details?

Checkbox

Include the Receipt #, Date, and Description for each transaction in the report.

Sort by Street Address?

Checkbox

Option to sort statements by address.

 

Addresses will be sorted by street number in an ascending order.

 

Note that if this option is not available and you would like to use this feature; you can contact your Active account manager.

Sort by ODD/EVEN House #?

Checkbox

Option to list odd house numbers first (in ascending order), then even house numbers (in descending order).

 

Use this option if delivering the report to customer addresses on foot.

 

Note: This option will not be enabled unless the Sort by Street Address? option is enabled above.

Retired

Dropdown list

Option to filter reports by customer status.

 

The options are:

  • All Customers - includes both retired and active customers

  • Exclude Retired - includes only active customers

  • Only Retired - includes only retired customers

Sort By Non-retired / Retired

Checkboxes

Option to sort transactions first by non-retired and then retired customers.

Report Module

Checkboxes

Option to filter transaction charges from a choice of the following report modules.

 

The choices are: Registration, Membership, Equipment Loan, Facility, Daycare, and POS.

 

Note that this only affects A/R charges, and not payments.

Include Online Transactions?

Checkbox

Option to include data from transactions that were created on the customer (public access) site.

 

Note: This option is only visible to system users who do not have a multi-site user profile.

Output Type

Dropdown list

The output type or format of the report, as selected from a predefined list.

 

The available output types are Adobe Acrobat Reader, HTML, and Microsoft Excel.

Report Title

Text

Option to save the report definition for later use.
