Agency payment report

This report displays agency payment information for all transactions of a particular date for a given date range.

 

The report shows the amount due to the agency from transactions made in ACTIVE Net.

 

The amount due to the agency is calculated by getting the credit card payments amount minus the credit card fees and transaction fees (if applicable). For example, if the credit card payments total $1000, and the credit card fees and transaction fees total $50, then the amount due the agency is $950.

Clicking the Recall / Schedule a saved report definition button at the top of the page takes you to the Report Definitions page, where you can select a previously saved report definition.

Options

Show Sub Totals

Checkbox

Option to show subtotal amounts for each date.

 

If checkbox is not selected, only the grand total for the entire date range will be displayed.

Summary Report

Checkbox

Option to produce a summary report or a detailed report.

 

Summary reports only display the amount totals for each date, while detailed reports list all receipt transactions.

No Zero Amount Records

Checkbox

Option to exclude transactions that have zero amounts (for example, transactions that did not require payment).

Include Processing Fee Column?

Checkbox

Option to include the Processing Fee column in the report.

 

The convenience fee is charged when doing transactions on the customer (public access) site

 

The convenience fee includes the transaction fee charged for all transactions (on both sites) plus an additional fee for processing that may charged to customers or absorbed by the agency.

Include Customer Paid Processing Fee Column?

Checkbox

Option to include a Customer Paid Processing Fee column in the report.

 

This column will show processing fees paid by customers, including the non-absorbed processing fees on the public and staff sites.

Group By

Dropdown list

Option to filter the transactions by:

  • Date

  • Site

  • Site, Activity, Child Activity

  • Fee Contract

  • Fee Contract Activity, Child Activity

Transaction Level Details?

Checkbox

Option to include transaction details such as the activity name, event name and permit number, membership package, or daycare program name (depending on the type of transaction involved), and customer and staff notes in the report.

 

For example: if Site is selected from the Group dropdown list, and the Transaction Level Details? checkbox is enabled, the transaction details for the site will be included in the Agency Payment report.

 

Note that this checkbox is disabled when Date is selected from the Group dropdown list

Include Online Transactions?

Checkbox

Option to include data from transactions that were created on the customer (public access) site.

 

Note: This option is only visible to system users who do not have a multi-site user profile.

Output Type

Dropdown list

The output type or format of the report.

 

The available output types are Adobe Acrobat Reader, HTML, Microsoft Excel, and Microsoft Excel (Tabular Format).

 

If you want to export this report using a plain format and no subtotals so that you can easily manipulate the figures in a spreadsheet, select Microsoft Excel (Tabular Format).
