Cash receipts

This report displays a list of cash receipts for a particular date or date range.

 

It shows the receipt number, receipt date and time, staff user ID, payer name, payment type, payment detail, and payment amount. To compare the system totals and the counted receipts totals, staff users can print the report output and handwrite counted receipt totals.

 

A summary is also displayed at the end of the report, showing the total payment amounts per payment type, and the grand total amount.

Clicking the Recall / Schedule a saved report definition button at the top of the page takes you to the Report Definitions page, where you can select a previously saved report definition.

The following filters are available on the Cash Receipts Report page: Receipt Date/Time Range, System User, Sites, Workstations, Payment Types, Alternate Key Value, and Cash Out Reports.

Options

Summary Report

Checkbox

Option to produce a summary report or a detailed report.

 

Summary reports will only display the total amounts per payment type and the grand total amount, while detailed reports will list individual receipts, along with the totals summary at the end of the report.

 

This option is unavailable if you have selected Microsoft Excel (Tabular Format) as the Output Type below.

Include Payment total of users

Checkbox

Option to included payment totals which are grouped by site.

 

Note:

When the Include Payment total of users check box is selected,

 The Include Cash Out ID check box is disabled.

 The Group by dropdown is set to Site only.

 The Sort by dropdown is set to User Name only.

 In the Output Type dropdown, selecting the Microsoft Excel (Tabular Format) option will unselect the Include Payment total of users checkbox.

Include Cash Out ID?

Checkbox

Option to include a Cash out ID column to the right of the Receipt total payment column in the report.

Include Cancelled Checks?

Checkbox

Option to include cancelled checks in the report output

Voided Status

Dropdown list

Option to select the receipt voided status:

  • Both
  • Voided
  • Unvoided

Credit Card Transaction

Dropdown list

You can select a credit card transaction type from the dropdown list:

  • All: Select this option to show all credit card transactions.

  • With Manual Auth Code: Select this option to show credit card transactions with a manual authorization code.

  • Without Manual Auth Code: Select this option to show the credit card transaction without a manual authorization code.

Include Online Transactions?

Checkbox

Option to include data from transactions that were created on the customer (public access) site.

 

Note: This option is only visible to system users who do not have a multi-site user profile.

Group By

Dropdown list

To group report data by payment type, select Payment Type.

 

Note: If the Summary Report check box is checked, then the Group By dropdown list is disabled.

Sort By

Dropdown list

Sort the donation transactions in the report by one of the following criteria:

  • Receipt Number
  • Date/Time
  • Payment Type

Output Type

Dropdown list

The output type or format of the report.

 

The available output types are Adobe Acrobat Reader, HTML, Microsoft Excel, and Microsoft Excel (Tabular Format).

 

If you want to export this report using a plain format and no subtotals so that you can easily manipulate the figures in a spreadsheet, select Microsoft Excel (Tabular Format).
