Receipt audit report

This report is used to audit receipts and refund vouchers for ACTIVE Net transactions. It shows receipt number, date, and time, payer name, payment type, payment amount, and transaction details such as transaction description, customer name, fee name, G/L account, amount charged, and amount applied.

Clicking the Recall / Schedule a saved report definition button at the top of the page takes you to the Report Definitions page, where you can select a previously saved report definition.

 

The following fields are available on the Receipt Audit Report page:

The following filters are available on the Receipt Audit Report page: Customer, Company, Receipt Date and Time range, Sites, System User, Receipt Number range, PN Reference Number and Alternate Key Value.

 

Note: The PN Reference Number comes from Active Merchant Services (AMS) for credit card or EFT (electronic funds transfer) transactions that were processed through AMS.

Options

Show

Summary Report

Checkbox

The summary Receipt Audit report displays one receipt per line, which systemizes abundant number of receipts with consolidated information, and thus facilitates the audit.

 

Note:

  • Select at least one option from Show Receipts, Show Refund Vouchers, or Show Non-Monetary Receipts to run the summary report.
  • Once Summary Report is checked, Show Customer Address dropdown is disabled.

Show Receipts?

Checkbox

Option to show receipts (with non-zero amounts) in the report.

 

Non-monetary receipts will not be included unless the Show Non-Monetary Receipts checkbox below is selected.

Show Refund Vouchers?

Checkbox

Option to show refund vouchers in the report.

Show Non-Monetary Receipts?

Checkbox

Option to show receipts with zero amounts in the report.

Credit Card Transaction

Dropdown list

You can select a credit card transaction type from the dropdown list:

  • All: Select this option to show all credit card transactions.

  • With Manual Auth Code: Select this option to show credit card transactions with a manual authorization code.

  • Without Manual Auth Code: Select this option to show the credit card transaction without a manual authorization code.

Include

(at least 1 Include checkbox must be selected)

Retired

Dropdown list

Option to filter reports by customer status.

 

The options are:

  • All Customers - includes both retired and active customers

  • Exclude Retired - includes only active customers

  • Only Retired - includes only retired customers

Include Registrations?

Checkbox

Option to include activity registration transactions in the report.

Include Permits?

Checkbox

Option to include facility reservation transactions in the report.

Include Memberships?

Checkbox

Option to include membership transactions in the report.

Include Daycare?

Checkbox

Option to include daycare registration transactions in the report.

Include POS?

Checkbox

Option to include POS transactions in the report.

Include All Others?

Checkbox

Option to include all other transactions in the report (for example, donations, account debits, overpayments).

Show Customer Address

Dropdown list

Option to show either the mailing address or the residential address for each customer in the report.

 

Note: To show the mailing address by default and show the residential address only if the customer has no mailing address, select Use Residential Address if without Mailing Address.

Include Online Transactions?

Checkbox

Option to include data from transactions that were created on the customer (public access) site.

 

Note: This option is only visible to system users who do not have a multi-site user profile.

Output Type

Dropdown list

The output type or format of the report, as selected from a predefined list.

 

The available output types are Adobe Acrobat Reader, HTML, and Microsoft Excel.

Save Report Definition

Do Not Show Absorbed Processing Fees?

Checkbox

Option not to display absorbed processing fees in the report.

Sort by Street Address?

Checkbox

Option to sort statements by address.

 

Addresses will be sorted by street number in an ascending order.

 

Note that if this option is not available and you would like to use this feature; you can contact your Active account manager.

Sort by ODD/EVEN House #?

Checkbox

Option to list odd house numbers first (in ascending order), then even house numbers (in descending order).

 

Use this option if delivering the report to customer addresses on foot.

 

Note: This option will not be enabled unless the Sort by Street Address? option is enabled above.
