To copy multiple registrants from one or more activities to other activities in another season use the Registration roll-over function.
Go to Administration > Registration settings > Registration roll-over.
Select information about the activity that you want to roll over in the Source activity lists.
Click Search.
In the Rollover column, select the checkbox for the activity you want to roll over participants from.
Note: Select the Rollover checkbox in the header row to roll over all activities.
In the Enr column, click the number for the activity you want to roll over registrants from (this number indicates the total number of registrants enrolled in the activity).
Tip: To roll over all participants in all activities, select the # to Rollover checkbox in the header column.
In the Activity roster pop-up box:
Select one or more of the registrants in the Rollover column.
Click Submit.
Note: On the Registration Roll-Over page, the # to Rollover Enr column changes to display the number of registrants you selected to roll-over.
If the activity uses teams:
In the Teams column, click the underlined number to show all the teams for the selected activity.
In the Activity team list window, to copy teams to the target activity, click one or more checkboxes in the Rollover team column.
To copy team members to the target activity, select one or more checkboxes in the Rollover member column.
To change the team for a team member, select a different team from the dropdown list in the Team column.
Note: If you leave the Team dropdown list blank for a team member, the team member will be copied as an individual enrollee and will not belong to any team.
Click Submit to return to the Registration roll-over page.
In the Target activity column, click the binocular icon for the activity that you want to roll over.
In the Activity search pop-up box:
Search for and select a target activity.
Click Submit.
Note: If you select the same target activity for multiple source activities, all selected registrants from the source activities will be rolled-over into the same target activity.
Click Rollover.
On the Registration roll-over results page, choose one or more of the following:
To run the Registration Roll-Over Results Report, click Display registration roll-over results report.
To view successful roll-overs for a source activity, click the number in the Enrolled column.
To view failed roll-overs for a source activity and reasons for the failures, click the number in the Not enrolled column.
Notes:
To successfully roll over a registrant, the registrant must be fully registered in the source activity and eligible for the target activity (age, gender, grade, activity prerequisite requirements met). There must be available space in the target activity.
If there are restrictions for the source activities, you must override them on the following page in order to successfully roll over the registrants.
When you perform a registration roll-over involving activities with private lessons:
Private lessons in the new season start the same number of days from the activity start date as they do in the current season. If there is a conflict in the new season, ACTIVE Net attempts to schedule the private lessons to start on the same day of the week, as closely to the ideal start date as possible.
If the private lesson has corresponding facility reservations, ACTIVE Net automatically books those in the new season, if available.
