Reservation check-in check-out list

This page is used for checking equipment in and out and also for viewing the equipment check-in and check-out history.

Where is it found?

Select the Front Desk tab > Reserve > Equipment Check-in/out.

How is it used?

The Equipment Check-in/Check-out page has the following links and fields:

Name of Field Type Description

Check-out Search

Reservation Date Range (from, to)

Date

Reservation date range to include in the availability grid, entered in month, day, year format or by clicking the calendar icon and selecting a date from the pop-up calendar.

Time Range (from, to) Time Reservation time range to include in the availability grid, entered in HH:MM AM/PM format.

Include Drop-in Customer?

Checkbox

Select this option to include drop-in customers in the search.

Customer

 

Link to the Customer Search page where customers for the equipment check-in/out can be selected.

 

To remove a customer from the list, select the customer, then click the Remove button.

Company

 

Link to the Company Search page where companies for the equipment check-in/out can be selected.

 

To remove a company from the list, select the company, then click the Remove button.

Equipment Type

 

Link to the Equipment Type page where equipment types for check-in/out can be selected.

 

To remove an equipment type from the list, select the equipment type and then click the Remove button.

Sites to include in the equipment check-in/out.

Checkbox

Select this option to indicate that the equipment will be checked out.

 

Note that this will only apply if the equipment has not already been checked out.

Select all

Hyperlink

Select this option to select all equipment for check-out.

Deselect all

Hyperlink

Select this option to deselect all equipment for check-out.

Check-out Option

Dropdown list

Indicates the check-out option for the equipment item as selected from a predefined list. The options are:

  • Free early check-out: No change in the reservation start time or charges, just records the current time as the check-out time.

  • Charge early check-out: Modifies the reservation start time to the current time and recalculates the charges, records the current time as the check-out time.

  • No early check-out: Does not allow the equipment item to be checked out early.

Permit #

Hyperlink

Permit number of the equipment reservation.

 

Clicking this link takes you to the Equipment Permit Functions page for the equipment reservation permit.

Account

Numeric

Name of the customer or company the equipment item reservation is for.

Equipment Item

Text

Name of the equipment item reserved.
 
Equipment packages will be broken down into individual equipment items and for each equipment item, the number of entries will be equal to the quantity specified for the package.

Start Date/Time

Date/Time

Start date and time of the equipment reservation.

End Date/Time

Date/Time

End date and time of the equipment reservation.

Add Charge

Hyperlink

Clicking this link takes you to the existing Add permit Charge page where you can add a charge to the equipment reservation (for example: an extra charge for late return, damage or for losing the equipment).

 

These additional charges will be added to the customer's account.

 

If the customer wants to pay the charges right away, the payment will need to be processed separately as per existing payment taking functionality.

Submit

Button

Clicking Submit checks-out all equipment items selected to check-out.

 

For equipment items where the quantity is set to 1, the equipment status will be changed to Out to continue with the quick reservation process. This will proceed to the payment process.

Sect this option to indicate that the equipment will be checked in.

Select this option to select all equipment for check-in.

 

Deselect all

Select this option to deselect all equipment for check-out.

Status

Dropdown list

Indicates the check-in status of the equipment item, as selected from a predefined list.

 

The options are: Available, Lost, and Damaged.

Check-in Option

Dropdown list

Indicates the check-in option for the equipment item, as selected from a predefined list. The options are:

  • Free late check-in: No change in reservation end time or charges, just records the current time as the check-in time.

  • Charge late check-in: Modifies the reservation end time to the current time and recalculates the charges and records the current time as the check-in time.

Check-out Date/Time

Date

Indicates the date and time the equipment item was checked out.

'OVERDUE' will be displayed in red capital text if the equipment is still checked out past the current end date and time.

If the Check-in Status was set to Lost the equipment item will not be returned to inventory.

 

For equipment items where the quantity is set to 1, the equipment status will be changed to Lost.
