You can link one or more instructors to an activity and define the rate at which the instructor is paid.

Prerequisite components

Prior to assigning instructors to an activity, configure the following data points:

The name of the instructor.

 

Required.

 

The list displays only those instructors whose assigned site(s) are also assigned to you. If you have the Customer Multi-site profile, you can see instructors for all sites.

Payrate Code

Number

Enter a numeric payrate code for the instructor.

 

Use this function if the instructor does not have a role (and thus role payrate code) assigned.

Start Date

Date

To specify that the instructor is only active during a specific date range within the activity's overall date range, enter the Start Date for the instructor (also see below).

End Date

Date

To specify that the instructor is only active during a specific date range in the activity's overall date range, enter the End Date for the instructor.

 

Notes:

  • To specify that the instructor is active throughout the activity's date range, leave Start Date and End Date blank.

  • Attendance entry for the instructor is only allowed during the period that the instructor is active. Activity meeting dates outside of the instructor's date range are marked as unattended by default.

Email Registration Notification

Select whether to send email registration notifications to the instructor for this activity:

  • Use default - Uses the settings specified for the instructor.

  • Yes - Send registration notifications to the instructor regardless of the instructor's email registration notification settings.

  • No - Do not send email registration notifications to the instructor.

Show Instructor Online?

Checkbox

Select this option to display the instructor's name on the customer (public access) site.

Instructor Available for Online Pre-Booked Private Lesson?

Checkbox

Select this option if you want this instructor to be available as an option for online customers who are pre-booking private lessons.

Company Name

Text

Name of the company that the instructor is representing.

 

In some cases, your organization has a contract with an instructor's company rather than with the instructor.

 

Click the binocular icon to open the Company Search page, where you can select a company.

 

You can only modify this option if you have the Customer multi-site security permission.

Company Employer ID Number

Numeric

Federal Tax ID Number used to identify the instructor's company.

 

You can only modify this option if you have the Customer multi-site security permission.

Email Address

Text

Email address of the instructor.

 

You can only modify this option if you have the Customer multi-site security permission.

Address

Text

Full or partial address of the instructor.

 

You can only modify this option if you have the Customer multi-site security permission.

General Payroll Information

Hyperlink

Click the hyperlink to display the standard pay rate based upon the first meeting date of the activity.

Exclude from Normal Payroll?

Checkbox

Select this option to exclude the instructor from the payroll system.

Instructor Role

Dropdown list

Rate assigned to the instructor.

 

Rates are assigned to specific instructor roles.

 

Note: If you have read-only access for the Activity Instructor Payroll security profile, then you can see the instructor rate but you cannot modify it. If you have no access to this security profile, then you cannot see this option.

Fixed Fee

Numeric

Flat fee that the instructor is paid for this activity regardless of the number of registrants, sessions, or fees collected.

 

The default value comes from the instructor's record.

 

Note: If you enter values in more than one fee field, then the fees are applied together. For example: an instructor may be paid a Fixed Fee plus a Fee per Hour, Fee per Student, or Fee per Session, and a Percentage of Primary or All Fees.

Fee per Hour

Numeric

Fee per hour that the instructor is paid for this activity.

 

The number of hours are calculated based on the total course time (not including the setup and cleanup times).

 

The default value comes from the instructor's record.

Fee per Student

Numeric

Default fee per student that the instructor is paid.

 

Note: This does not include customers on the waitlist or customers enrolled with a deposit.

Fee per Session

Numeric

Fee per session (each meeting of the activity) that the instructor is paid for this activity.

 

The default value comes from the instructor's record.

 

Note: When you select the Timesheet Model for payroll, then this field is not available.

Percentage of All Fees

Numeric

Default percentage of all registrant fees that are paid to the instructor rate.

Percentage of Primary Fees

Numeric

Default percentage of the registrant fees marked as primary fees that are paid to the instructor rate.

 

Note: If the instructor rate is paid by percentage of primary fees only, and if none of the activity fees are defined as a primary fee, then the instructor rate does not receive any payment.

Fee per Student per Hour

Numeric

Default fee per hour per student that the instructor is paid.

 

Payroll is calculated according to the attendance time multiplied by the number of students enrolled.

 

Note: Enrollees are counted towards payroll only after their Enrollment Effective Dates.

Fee per Student per Session

Numeric

Default fee per session per student that the instructor is paid.

 

Payroll is calculated according to the number of sessions attended multiplied by the number of students enrolled.

 

Note: Enrollees are counted towards payroll only after their Enrollment Effective Dates.

Up-Front Preparation Payroll Information

Note: If you have selected the Timesheet Model for payroll, then this area is hidden.

Total Up-front Preparation Time (hours)

Numeric

Total number of up-front preparation hours the instructor is paid for, regardless of the number of participants.

 

This payment is paid to an instructor who may only teach the class once.

 

This is calculated before the activity starts (since it is only applied once).

 

If you enter values in more than one fee field, then they are applied together.

 

For example: an instructor may be paid a Fixed Fee plus a Fee per Hour, Fee per Student, or Fee per Session, and a Percentage of Primary or All Fees.

Flat fee that the instructor is paid for this activity regardless of the number of registrants, sessions, or fees collected.

Ongoing Preparation Payroll Information

Preparation Time Per Session (hours)

Numeric

Total number of up-front preparation hours the instructor is paid for regardless of the number of participants.

 

This payment is paid to an instructor who is teaching sessions on an ongoing basis. This is calculated as prep time x number of sessions.

 

If you enter values in more than one fee field, then they are applied together. For example: an instructor may be paid a Fixed Fee plus a Fee per Hour, Fee per Student, or Fee per Session, and a Percentage of Primary or All Fees.

 

Note: You can override all default instructor fees.

Fixed Fee

Flat fee that the instructor is paid for this activity regardless of the number of registrants, sessions, or fees collected.

 

The default value comes from the instructor's record.

Fee per Student

Default fee per student that the instructor rate is paid.

 

Note: This does not include customers on the waitlist or customers enrolled with a deposit.

Percentage of All Fees

Numeric

Default percentage of all registrant fees that are paid to the instructor rate.

Percentage of Primary Fees

Numeric

Default percentage of the registrant fees marked as primary fees that are paid to the instructor rate.

 

Note: If the instructor rate is paid by percentage of primary fees only, and if none of the activity fees are defined as a primary fee, then the instructor rate does not receive any payment.

 

Note: The rates due to the instructor are cumulative, so if you enter more than one rate, then the instructor is paid all of the fees. For example: an instructor may be paid a fixed fee for the entire activity, plus a fee per student (for example: for materials used). Or an instructor may be paid a fee per session (for example: a minimum payment regardless of number of participants), plus a percentage of the fees (for example: higher payment for more participants).
