Using the File Export for Customers

From the File Export page, select Customers from the Table Name list. Then click Submit.

 

The following options are included on this page:

Click Preview/Edit List to view or edit the custom lists of email recipients.

Transaction Type

Link to the transaction type list page to narrow down the customer records to be exported.

Option to select additional filters to the custom list to fine tune the email recipient list. See Report Filters.

 

Select the checkbox to display filter criteria (Population, Registration, Facility, Membership, Daycare, Leagues, POS).

 

Click More>>> for a particular section to expand it so that you can add filter criteria.

Click <<<Less to collapse the section.

 

Note: Add criteria to filter the email recipient list. For example, if an activity is added as a filter, only customers in the custom list who are registered in the activity are included in the email recipient list.

For customers without this information on file, this column displays Unknown.

Subscription List

Checkbox

Displays the list of customer subscriptions in a single column.

Options

Include 'No Promotional Email' Customers

Checkbox

Option to include customers who are not included in the promotional emailing list.

 

If this option is not selected, only customers with the Promotional Email checkbox selected are returned (for example: only those who are in the emailing list will be included).

Include 'No Promotional Postal Mail' Customers

Checkbox

Option to include customers who are not included in the promotional postal mailing list.  

 

If this option is not selected, only customers with the Promotional Postal Mail checkbox selected are returned (for example: only those who are in the postal mailing list are included).

Special Handling Customers

Option to include only customers whose Special Handling checkbox is selected. 

 

If this option is not selected, all customers are returned.

Include Retired Customers

Checkbox

Option to include customers who have been retired. 

 

If this option is selected, customers whose Retire Customer Record checkbox is selected are included.

Include Membership Package?

Checkbox

Select this checkbox to display all of the effective membership packages purchased by the customers in the export file.

Include Note / Alert?

Checkbox

Select this option to display the following fields in the export:

  • Note / Alert Type

  • Note / Alert Description

  • Note / Alert Start Date

  • Note / Alert End Date

  • Note / Alert Created Date

Show Specific Custom Questions

Hyperlink

Link to the custom question answer list page to select specific custom questions and answers to display in the export file.

Customer Account Created

Dropdown list

To only include customers in the report who were created either online or on the staff side, select Online or on Staff Side.

 

To include all customers no matter where they were created, select Both.

Only Show Customers Missing Any of Selected Fields?

Checkbox

To only include customers in the report who are missing data for one or more of the fields that you have selected, select this option.

Enrollment State

Dropdown list

Enrollment state during timeframe (or other criteria specified above) to limit customer records returned with export.

Customers Born In

Dropdown list

Option to return only customers born who were on a certain month.

 

If All Months is selected, all customers are returned.

Instructors Only

Checkbox

Option to return only customers who are also instructors.

Unique Addresses

Checkbox

Option to return only customers with unique addresses.

 

For records with duplicate addresses, the head of household is returned.

 

If no head of household is designated, the first customer record created with the address is returned.

Sort Options

Sort Options Dropdown list Option to sort the exported records by customer name, age and name, zip code and name, or zip code and address.

Using File Export for Facility Schedules

From the File Export page, select Facility Schedules from the Table Name list. Then click Submit.

The following options are included on this page:

Select any or all of the following filters for this report:

Set up Reservation Date Range Filter

    1. Select a Beginning Date for the facility reservation.

    2. Select an Ending Date for the facility reservation.

Set up Center Filter

    1. Click Center to view the Center List page.

    2. From the Center List page, select the centers.

    3. Click Add All Selected.

Set up Reservation Site Filter

    1. Click Reservation Site to view the Site List page.

    2. From the Site List page, select the sites.

    3. Click Add All Selected.

Set up Facility Filter

    1. Click Facility to view the Facility Search page and then search for facilities. The facility search results are displayed on the Facility List page.

    2. From the Facility List page, select the facilities.

    3. Click Add All Selected.

Select whether or not you want to export only records that have notes attached.

 

Using the File Export for Activities

From the File Export page, select Activities from the Table Name list. Then click Submit.

Field Selection

Activity Status

Dropdown List

Option to only include activities with a particular status.

 

The options include:

  • Open - Activities that are still open for registration.

  • Closed - Activities that have been closed for registration.

  • Cancelled - Activities that have been cancelled and will not be held anymore.

  • Tentative - Activities that are scheduled but not yet fully certain to run. Activities whose enrollment are way below the minimum enrollment required may be placed on Tentative status. Note that retired activities that are copied to a new season will also get this status, until the status is changed to Open.

  • On Hold - Activities that have some technical issues (for example, instructor may not be available) and may end up not running.

  • Retired - Activities that will not be offered anymore.

  • Date Conflicted - Activities whose facility schedules have conflicting dates. These activities may end up not running at their original facilities so will need to have them updated prior to being switched to Open.

  • Any Status - Include all activities regardless of status.

Enrollment Status

Option to only include activities depending on their enrollment status, as selected from either Any Status, Full, Under Maximum, Under Maximum + Waitlist, and Under Minimum.

Activity Instructor

To only include activities with or without an instructor, select Only Activities with Instructors or Only Activities without Instructors.

Only Include if Minimum Enrollment Met?

Select to only include activities that have met their minimum enrollment requirements.

Only Include Activities that have Fees Without a Valid G/L Account?

Enter the username for your Musco lighting system.

Musco Password

Enter the password for your Musco lighting system.

Include Rental Setup and Cleanup time

Check box

If this check box is selected, then the Lighting Exporting report displays reservation start times and end times that include setup and cleanup times.

Save Report Definition

  • In the Report Title box, enter a report title.

  • Click Save to save the report definition with the current report title. If you have changed the report title, then the original report title is replaced by the new one.

  • Click Save As to save another version of the report definition using a different report title.

  • Click Recall/Schedule on top of the page to access a previously saved report definition from the Report Definitions page.

 

Using File Export for USA Hockey

From the File Export page, select USA Hockey Export from the Table Name list. Then click Submit.

Note that the USA Hockey Export option is displayed only if:

• USA Hockey integration for your organization has been enabled.

• The logged-in user account profile is granted the General - USA Hockey Export permission.
