Custom list sections

Custom list definition criteria are divided into the following sections:

 

In the Custom Lists Population section, you can select the following criteria for a custom list:

Name of Field Type Description

Population

Customer

Hyperlink

Click the link to display the Customer Search window, where you can select customers.

 

To remove a customer from the custom list, select the customer, then click Remove.

Customer Type

Click the link to display the Customer Type List window, where you can select customer types.

 

To remove a customer type from the criteria list, select the customer type, then click Remove.

Interest List

Click the link to display the Interest List window, where you can select interest lists.

 

To remove an interest list from the criteria list, select the interest list, then click Remove.

Subscription List

Click the link to display the Subscription List window, where you can select subscription lists.

 

To remove a subscription list from the criteria list, select the subscription list, then click Remove.

Demographic

Click the link to display the Demographic window, where you can select demographic categories.

 

To remove a demographic category from the criteria list, select the category, then click Remove.

Geographic Areas

Click the link to display the Geographic Areas List window, where you can select geographic areas.

 

To remove a geographic area from the criteria list, select the geographic area, then click Remove.

Customer City

Click the link to display the City List window, where you can select cities.

 

To remove a city from the criteria list, select the city, then click Remove.

Customer State

Click the link to display the State List window, where you can select states or provinces.

 

To remove a state from the criteria list, select the state, then click Remove.

Customer Zip / Postal Code

Click the link to display the Zip / Postal Code List window, where you can select zip or postal codes.

 

To remove a zip code from the criteria list, select the zip code, then click Remove.

Custom Question Answer

Click the link to display the Custom Question Answer Search window, where you can select custom questions and corresponding answers.

 

To remove a custom question/answers from the criteria list, select the custom question, then click Remove.

Customer Award

Click the link to display the Award List window, where you can select customer awards.

 

To remove a customer award from the criteria list, select the award, then click Remove.

Customer Award Code Combo

Hyperlink

Click the link to display the Award Combo List window, where you can select customer award code combos.

 

To remove a customer award combo from the criteria list, select the award, then click Remove.

Age Range

Numeric

The age range (From, To) in years of customers to include in the custom list.

Account Created

Numeric

The date range (From, To) of customers to include in the custom list.

Login Created

Date

The range (From, To) of dates when customer login accounts for the customer (public access) site were created.

 

Customers whose login accounts were created within the date range will be included in the custom list.

Login Never Created?

Checkbox

Option to include only customers who have never had a login account for the customer (public access) site

Login Used

Date

The range (From, To) of dates when customers used their login accounts on the customer (public access) site.

 

Customers who used their login accounts within the date range will be included in the custom list.

Login Never Used?

Checkbox

Option to include only customers who have never used their login account for the customer (public access) site.

No Transactions As Of

Date

Date from which customers have not had any transactions.

 

Customers who have not had a transaction since this date will be included in the custom list.

Gender

Dropdown list

Gender of the customers to include in the custom list.

Residency

Dropdown list

Include enrollees on the list based on their residency status:

  • Active Residents (have current residency status)

  • Non-Residents (do not have residency status)

  • Expired Residents (have residency status, but it has expired)

  • All Customers

Include 'No Promotional Email' Customers

Checkbox

Option to include in the custom list the customers who have indicated that they do not want to receive promotional email from the agency.

Include 'No Promotional Postal Mail' Customers

Checkbox

Option to include in the custom list the customers who have indicated that they do not want to receive promotional postal mail from the agency.

Include Customers

 

Select which customers to include based on text message receipt preferences:

  • All: All customers

  • Agree to receive text messages only: Only customers who want to receive text messages

  • Don't agree to receive text messages only: Only customers who don't want to receive text messages

Special Handling Customers

Checkbox

Option to include customers who require special handling in the custom list.

Include Retired Customers

Checkbox

Option to include customers who have been retired in the custom list.

 

Retired customers do not appear in customer search results or reports, unless specified.

Customers Born In

Dropdown list

Month of the customer's birth.

 

Only customers who were born in the selected month will be included in the custom list.

Instructors Only

Checkbox

Option to include only instructors in the custom list.

Unique Addresses

Checkbox

Option to include only customers with unique street addresses in the custom list.

 

For example, an account might have the same street address for all family members, so only one member of the account would be included in the custom list.

Finance

Scholarship

Hyperlink

To only include customers with a specific scholarship in the results, click Scholarship.

 

Customers whose scholarships are used up or expired are still included in the results.

Unused Balance in Scholarship

Checkbox

To only include customers with an unused balance on any of their scholarships in the results, select this option.

Outstanding Credits on Account

Checkbox

To only include customers with outstanding credits on their account in the results, select this option.

Balance Due on Account

Checkbox

To only include customers with a balance due on their account in the results, select this option.

Include Other Payer(s) with Balance Due

Checkbox

To generate a list that includes customers who have amounts due owed by other payers, select this option.

For example, if a child’s parent did not pay the due amount in time, both the child account and the parent account are included in the list.

This check box is enabled only if the Balance Due on Account check box is selected.

A/R Aging Period

Dropdown list

To only include customers with an amount due that has been due for 30, 60, 90, or more days, select the aging interval that you want to use.

 

This option is only available if you have selected Balance Due on Account above.

Due As Of

Date

To only include customers with an amount due as of a specific date in the results, enter the date in this box.

 

This option is only available if you have selected Balance Due on Account above.

Click Generate List to generate the custom list based on the criteria specified. The resulting custom list is displayed with all customers who meet the criteria.

 

Click Save Definition to save the custom list definition.

Transaction

Complete one or more of the following details:

 

In the Registration section, you can select the following criteria for the custom list:

Activity Meeting Dates

Date

The range (From, To) of meeting dates of the activities included in the criteria.

 

For example, the activity 'Belly Dancing for Seniors' is offered monthly, but you may only want to include in the custom list the registrants for the months of May to June 2006.

Enrollment Status

Dropdown list

Enrollment status of the activities to include in the criteria:
  • Any status: Include the selected activities regardless of enrollment status.

  • Full: Include only activities that have reached the maximum number of enrollees.

  • Under maximum: Include only activities that have not reached the maximum number of enrollees.

  • Under maximum + Wait List: Include only activities that have not reached the maximum number of enrollees and have people on the waitlist.

  • Under minimum: Include only activities that have not reached the minimum number of enrollees.

Enrollment State

Dropdown list

Enrollment state of the activities to include in the criteria:
  • Any: Include all the registered and waitlisted customers of the selected activities regardless of enrollment status.

  • Roster: Include only the enrollees in the roster of the selected activities.

  • Wait List: Include only the people in the waitlist of the selected activities.

Activity Status

Dropdown list

Status of the activities to include:
  • Open
  • Closed
  • Cancelled
  • Tentative
  • On Hold
  • Retired
  • Date Conflicted
  • Any Status (default)

Race Result Time Range

Time

The range (From, To) of race finish times to include in the criteria.

 

For example, criteria may include only records of customers who finished the race within 2 hours.

Race Result  Overall Place

Numeric

The range (From, To) of race overall places to include in the criteria.

 

For example, criteria may include only records of customers who finished in the top 100 overall.

Race Result  Gender Place

Numeric

The range (From, To) of race places by gender to include in the criteria.

 

For example, criteria may include only records of customers who finished in the top 100 places for each gender.

Race Result Division Place

Numeric

The range (From, To) of race places by division to include in the criteria.

 

For example, criteria may include only records of customers who finished in the top 100 places for each division.

Click Generate List to generate the custom list based on the various criteria specified. The resulting custom list will be displayed with all the customers who meet the criteria.

 

Click Save Definition to save the custom list definition.

 

In the Facility section, you can select the following criteria for the custom list:

Click calendar.JPG to specify the reservation date and time range for customers who have reserved facilities.

Click Generate List to generate the custom list based on the criteria specified. The resulting custom list is displayed with all customers who meet the criteria.

 

Click Save Definition to save the custom list definition.

 

In the Membership section, you can select the following criteria for the custom list:

Click the link to display the Package Search window, where you can select membership packages.

Package Category

Membership Start Date

Date

The range (From, To) of start dates of the membership packages included in the criteria.

 

For example, a Golf Annual Membership can be purchased all year round, but you may only want to include in the custom list the customers whose membership starts from May to June 2006.

Membership Exp. Date

Date

The range (From, To) of expiration dates of the membership packages included in the criteria.

 

For example, you may only want to include in the custom list the customers whose membership are set to expire from May to June 2006.

Primary Members Only

Checkbox

Option to include in the custom list only the primary members of membership packages.

 

The primary member is the designated owner of a membership package (usually the person who bought the membership). Secondary members are other people who have been included in the package.

Renewable Packages Only

Checkbox

Option to include only the types of membership packages that are renewable.

Membership Expiration Status

Dropdown list

Expiration status of the membership packages to include in the criteria:

  • Any: Include members of selected membership packages regardless of expiration status.

  • Not Expired Memberships: Include only members whose membership packages that have not expired.

  • Expired Memberships: Include only members whose membership packages that have expired.

Click Generate List to generate the custom list based on the criteria specified. The resulting custom list is displayed with all the customers who meet the criteria.

 

Click Save Definition to save the custom list definition.

 

In the Daycare section, you can select the following criteria for the custom list:

In the Leagues section, you can select the following criteria for the custom list:

In the POS section, you can select the following criteria for the custom list:

In the Locker section, you can select the following criteria for the custom list:

  2. Select one or more locker rooms.

  3. Click Add All Selected.

Locker Bank

  1. Click the Locker Bank link to open the Locker Bank page.

  2. Select one or more locker banks.

  3. Click Add All Selected.

Locker

Hyperlink

  1. Click the Locker link to open the Locker Search page and then enter criteria to search for lockers. The locker search results are displayed on the Locker List page.

  2. Select one or more lockers.

  3. Click Add All Selected.

Locker Size

  1. Click the Locker Size link to open the Locker Size page.

  2. Select one or more locker sizes.

  3. Click Add All Selected.

Reservation Date

Date range

  1. Select a Beginning Date for the reservation from the calendar.

  2. Enter a Beginning Time for the reservation.

  3. Select an Ending Date for the reservation from the calendar.

  4. Enter an Ending Time for the reservation.

 

The day and time of the week fields are automatically filled in.

Expiration Date

Date range

To filter the custom list to only include customers whose lockers expire within a specific date range, enter the date range here.

Click Generate List to generate the custom list based on the criteria specified. The resulting custom list is displayed with all customers who meet the criteria.

 

Click Save Definition to save the custom list definition.
