Attendance

You can track attendance to monitor the participation of registrants in activities and teams (if any).

Using Attendance Functions

The Attendance Dates page displays the list of meeting dates (sessions) for the activity with a link on each date. Click the underlined Date link to display the Attendance form for that date.

 

Note: You can specify a default instructor or customer attendance code for all registrations if you select Mark all meeting dates as attended by instructor as the default? or Mark all meeting dates as attended by customer as the default? in the Attendance Options section of the Registration Configuration page.

For instructors

    1. Under Instructor Attendance, select an attendance code from the dropdown list. The Attended checkbox is automatically selected if the instructor attended the class, or left blank if the instructor was absent.

Note: For private lessons, if you select an attendance code that is marked as needing to be rescheduled, the Re-Schedule checkbox is automatically selected. In addition:

      • The facility schedule record is automatically expired and a reschedule flag is set.

      • Charges are not changed until you reschedule the lessons.

      • Each registrant's Re-Schedule checkbox is automatically selected.

    1. If the listed instructor did not teach the class, select a Substitute Teacher from the dropdown list

    2. (Optional) If you select a substitute instructor, you can click Change Substitute Instructor Payroll to change that instructor's payroll information.

    3. To add a note to the instructor attendance, click the underlined Add Note link, then enter the note.

 

Note: If you have "Read-Only" access for the Activity Instructor Payroll security profile, you can view the Substitute Payment Information, but not modify it. If you do not have access for the Activity Instructor Payroll security profile, then you cannot view this link.

For each registrant

    1. Select the Attendance Code from the dropdown list. The Attended column automatically changes to ATTENDED if the registrant attended the class, or ABSENT if the registrant was absent.

Note: For private lessons, if you select an attendance code that is marked as needing to be rescheduled, the Re-Schedule checkbox is automatically selected. Charges are not changed until you reschedule the lessons.

    1. To change the make-up class authorization for the meeting date, click Yes or No in the Make-up Class Authorized? column.

    2. To schedule a make-up class for an absent attendance code, click Schedule Make-up Class.

    3. To add a note for the participant attendance, click the underlined Add Note link, then enter the note.

    4. Click Save.
