Activity attendance sheet

This report prints attendance sheets which are used to monitor activity attendance. The sheet has a grid of all enrollees and activity dates, and attendance of each enrollee can be marked on each date.

Clicking the Recall / Schedule a saved report definition button at the top of the page takes you to the Report Definitions page, where you can select a previously saved report definition.

 

The following fields are available on the Activity Attendance Sheet page:

The following filters are available on the Activity Attendance Sheet page: Activity, Parent Season, Child Season, Organization Department, Activity Category, Activity Type, Activity Start Date Range, Center, Supervisor, Instructor, Activity Meeting Dates Range, and Activity Skill.

 

Note that the center associated with an activity is the center where the first activity booking/meeting occurs.

 

So if someone selects one or more centers for the new filter, the report includes only those activities whose first booking is at a facility belonging to that center.

Options for report configuration.

 

The choices are:

  • None - Displays the standard attendance sheet with a grid of enrollees and activity dates that can be used to manually mark activity attendance.

  • Blank sheet (without enrollees) - Displays a blank sheet that can be printed and manually modified. The grid will still display the activity dates, but without the list of enrollees.

  • Show attendance for each enrollee - Displays a grid of enrollees and activity dates, with attendance already marked for past dates. This is used if attendance records are entered in the system on the Attendance Form page.

Activity Status

Dropdown list

Option to only include activities with a particular status, as selected from a predefined list.

 

The options include:

  • Open - Activities that are still open for registration.

  • Closed - Activities that have been closed for registration.

  • Cancelled - Activities that have been cancelled and will not be held anymore.

  • Tentative - Activities that are scheduled but not yet fully certain to run. Activities whose enrollment are way below the minimum enrollment required may be placed on Tentative status. Note that retired activities that are copied to a new season will also get this status, until the status is changed to Open.

  • On Hold - Activities that have some technical issues (for example, instructor may not be available) and may end up not running.

  • Retired - Activities that will not be offered anymore.

  • Date Conflicted - Activities whose facility schedules have conflicting dates. These activities may end up not running at their original facilities so will need to have them updated prior to being switched to Open.

  • Any Status - Include all activities regardless of status.

Customer Name Format

Dropdown list

Option to list customers either by Lastname, Firstname, or Firstname, Lastname.

Retired

Dropdown list

Option to filter reports by customer status. The options are:

  • All Customers - includes both retired and active customers

  • Exclude Retired - includes only active customers

  • Only Retired - includes only retired customers

Page Orientation
 
Select one of the following options for the orientation of the generated report:
  • Portrait (page is taller and not as wide)

  • Landscape (page is wider and not as tall)

 

Note: The report data is not changed based on the page orientation you select.

Meeting Dates per Page

 

Select one of the following number of meeting dates to be displayed per page on the report list.

  • Five (5)

  • Seven (7)

  • Maximum

Include Withdrawn Participant?

Checkbox

Participants who withdraw from the activity are displayed on the report with a “W” for each meeting date after they withdrew.

Include Phone Number?

Checkbox

Option to include the customer's phone number on the attendance sheet.

Team Attendance Sheet

Checkbox

Option to include team attendance sheets in the report.

 

These will be displayed after the individual activity attendance is listed.

Include Customer Age

Checkbox

Option to include customer ages in the report.

If it is checked, from Calculate Age Based on setting, select the start date to calculate customer ages:

  • Report Date
  • Program start date
  • Specified Age Calculation Date

Show Customer Alternate Keys?

Checkbox

Option to include alternate keys and information relating to the alternate keys in the report.

Show Customer Pass Numbers?

Checkbox

Option to include customer pass numbers and information relating to customer pass numbers in this report.

Show Private Lesson Only?

Checkbox

Select to display data only for activity sessions which are marked as private lessons.

Include Space for Time In and Time Out

Checkbox

Select this check box to include space for recording the time in and time out for each enrollee and meeting date on the report list.

Include Planned Absences?

Checkbox

Option to include a sub-section that lists the planned absences for each customer.

Include Make-up Class Customers?

Checkbox

Option to include make-up class customers as part of the report.

Output type

Dropdown list

Option to select the output type or format of the report, from a predefined list.

 

The options are Adobe Acrobat Reader, HTML, or Microsoft Excel.

Save Report Definition

Report Title

Text

Option to save the report definition for later use.
