Create an online calendar when you want to publish a calendar of drop-in events on the public site. These events may occur once or on an ongoing basis, but they typically do not require registration in the way that activities do.
Go to Administration > Web Admin > Online Calendars.
Note: You must have the Administration: Web Admin - Online Calendars option enabled in your system user profile to access this page.
Click Add New.
Enter a Name and a Site for your calendar, plus any Notes to publish along with the calendar.
Select the Days and Times to include in your calendar.
Click Save.
You can create both activities and reservations that display as events on your calendar, or you may opt to use only one or the other, depending on what makes the most sense for your organization.
If you want to create activities that will display on your online calendar, then create or modify an activity type with the Available for Online Calendar Assignment component enabled. If you want to create reservations that will display on your online calendar, then create or modify an event type with the Available for Online Calendar Assignment option enabled.
To configure an activity type to display on your online calendar:
Go to Administration > Registration Settings > Activity Types.
Either create a new activity type or click an existing activity type.
In the Components section, select Available for Online Calendar Assignment.
Select any other components that your activity type needs. See Adding or modifying an activity type for more information.
Click Save.
To configure an event type to display on your online calendar:
Go to Administration > Facility Settings > Event Types.
Either create a new event type or click an existing event type.
In the General section, select Available for Online Calendar Assignment.
Select any other options that your event type needs. See Adding or modifying an event type for more information.
Click Save.
Once you have created an online calendar and specified at least one activity or event type that will display on online calendars, then you are ready to begin adding events to your calendar.
To add an activity to your calendar as an event:
Go to Administration > Registration Settings > Activities.
To create a new activity, click Add New.
In the General Information section, select an activity Type that you have configured to display online calendars.
In the Options section, select a calendar from the Display on Online Calendar list.
Note: If the Hide on Internet option is selected then you are not able to select a calendar.
Fill in any other necessary options for this activity. See Creating a new activity for more information.
Click Save.
To add a reservation to your calendar as an event:
Go to Front Desk and create a new reservation. See Reserving a facility for more information.
In the Find Reservation Candidates step, select an Event Type that you have configured to display online calendars.
Fill in the rest of this step and continue with the reservation as usual.
In the Reservation Fees step, in the Online Calendar Display section, select a calendar from the Display on Online Calendar list.
Enter Description text to display on the calendar for this event, if necessary.
Complete the reservation as usual.
Once you have created an online calendar and added events to it, then you should be able to see your online calendar and events on your public site (you should see a calendars item in the top navigation bar and a calendars area on your home page--if you don't see these items then see the first section below to make sure that online calendars are enabled for your public site).
If you want to change the default wording and other options associated with online calendars as they appear on your public site, then refer to the sections below.
Go to Administration > System Settings > Configuration - Internet Staff.
In the Disable Licensing Settings section, choose one of the following:
To enable online calendars on your public site, ensure the Online Calendars option is not selected.
To disable online calendars on your public site, select the Online Calendars option.
Click Save.
Go to Administration > System Settings > Configuration - Wording.
In the General Wording > Navigation - Public section, change the wording in the Calendars box.
Click Save.
Go to Administration > Web Admin > Customize Online Intro.
To change the wording of the heading for the calendars area on the home page, enter text in the View Calendars Title box.
To change the wording of the custom text inside the calendars area on the home page, enter text in the View Calendars Text box.
Click Save.
Go to Administration > System Settings > Configuration - General.
In the Images > Online Images section, select a Drop-In Calendars Image.
Click Save.
Go to Administration > Web Admin > Online Headers/Footers.
In the Online Pages list, click Calendars.
Enter Header and/or Footer text.
Click Submit.
If online calendars are enabled for your public site and if you have at least one active online calendar, then you can view your online calendar on your public site.
From the home page of your public site, click either the calendars item in the top navigation bar or the link in the calendars area of the home page to go to the Calendars page, where all online calendars for your site are displayed.
