Event types

Event types correspond to the kinds of events that occur in your facilities. They are linked to permits and are used for reporting purposes.

 

Make your event type as descriptive as possible to make it easy for your staff to select the proper event type when creating a permit.

To modify an event type checklist

From the Event Type List page, clicking the Checklist link next to the desired event type opens the Event Type Checklist page.

 

The following options are included on the Change Event Type Detail Item page:

Display Image

Dropdown list

Setting to set a background image for this event type on the landing page of the new CUI Reservation module.

Prep Code

Dropdown list

The prep code to associate with this event type.

 

If you do not select a prep code here, then you can still choose one when you create permits.

 

Note: A customer creating a reservation on the customer (public access) site does not have the option of selecting a prep code and is automatically assigned the prep code attached to the event type.

Include setup in event time

Checkbox

This checkbox is only visible if a non-blank Prep Code has been selected.

 

Select this checkbox to include the setup time as part of the event time (if unchecked, then the setup time is before the event time).

Include cleanup in event time

Checkbox

This checkbox is only visible if a non-blank Prep Code has been selected.

 

Select this checkbox to include the cleanup time as part of the event time (if unchecked, then the cleanup time is after the event time).

Schedule Type

Dropdown list

The schedule type to associate with this event type.

 

Note: Although the schedule type is not required, if you do not select a schedule type, then this event type is not available over the customer (public access) site. On the staff site, staff must select a schedule type at the time they create a permit.

Site

Dropdown list

The site attached to the event type.

 

The site selected is the only site where the event type can be used, unless you have multi-site permission.

 

Select All Sites to make the event type available to all sites.

Prevent Further Use

Checkbox

Select this checkbox to disable the event type from further use without deleting it.

 

Note: If the event type is set as Reservation Group, you cannot set the event type to Prevent Further Use.

Hide on Internet

Checkbox

Option to not display this event type on the customer site.

Allow Non-exclusive Use

Checkbox

To allow users to specify permits for this event type as non-exclusive (so that other, non-conflicting permits can be booked for the same facility and time slot), select this option.

 

For example, you could book a non-exclusive permit for a photographer at the same time as a reservation for a basketball game, since their facility use doesn't conflict.

Auto Include Facility and Equipment during Reservation

Checkbox

Option to automatically include all of the facilities or equipment associated with this event type as possible candidates for reservations that use this event type.

 

For example, if you have a Conference event type that always takes place in Meeting Room 1, Meeting Room 2, or Meeting Room 3, then you may want to link those three facilities to the event type and enable the new option. When you create a new reservation and select the Conference event type, ACTIVE Net will automatically select those three meeting rooms as potential candidates for the reservation--you'll skip the initial step of having to specify and search for the meeting rooms first.

Available for Online Calendar Assignment

Checkbox

Select this checkbox if reservations that use this event type can be set to display on an online calendar.

Apply color theme

Checkbox

To configure the background and text colors of this event type when it is displayed on CUI calendars, select this checkbox.

To configure the background color of this event type when it is displayed on CUI calendars, either enter a hexadecimal color code in this field or click the Select link and then click the required color.

To configure the text color of this event type when it is displayed on CUI calendars, either enter a hexadecimal color code in this field or click the Select link and then click the required color.

These notes are printed on the customer permit contract.

Custom Question Groups

Available Question Groups

Listbox

A list of all custom question groups maintained in the system that can be linked to event types (or activities, membership packages, facility event types).

 

An event type can have multiple question groups and a question group can be linked to multiple event types.

 

To make a custom question group available for an event type, highlight the name of the custom question group in the left column (Available Question Groups) and click the right-pointing arrow to move it to the right column (Selected Question Groups).

Selected Question Groups

Listbox

A list of all custom question groups maintained in the system that can be linked to event types (or activities, membership packages, facility event types).

 

An event type can have multiple question groups and a question group can be linked to multiple event types.

 

To remove a custom question group from an event type, highlight the name of the custom question group in the right column (Selected Questions) and click the left-pointing arrow to move it to the left column (Available Question Groups).

Move to top

Hyperlink

Click to move a selected custom question to the top of the list.

 

The group of questions on top are asked first during registration.

 

Select a custom question group from the Selected Question Groups listbox then click Move to top.

Move up one

Hyperlink

Click to move a selected custom question group one position up in the list.

 

The group of questions are asked during registration from top to bottom.

 

Select a custom question group from the Selected Question Groups listbox then click Move up one hyperlink.

Move to bottom

Hyperlink

Click to move a selected custom question group to the bottom of the list.

 

The bottom group of questions are asked last during registration.

 

Select a custom question group from the Selected Question Groups listbox then click Move to bottom.

Move down one

To make a custom question available for an event type, highlight the name of the custom question in the left column (Available Questions) and click the right-pointing arrow to move it to the right column (Selected Questions).

These questions are asked during facility reservation.

 

To remove a custom question from a event type, highlight the custom question in the right column (Selected Questions) and click the left-pointing arrow to return it to the left column (Available Questions).

The question on top is asked first during facility reservation.

 

Select a custom question from the Selected Questions listbox then click Move to top.

Move up one

Option to move a selected custom question one position up in the list.

 

The questions are asked during facility reservation from top to bottom.

 

Select a custom question from the Selected Questions listbox then click Move up one.

Checkbox

If you want to display facility filters on the public site when customers create online reservations using this event type, select this option.

 

When you select this option, facility filters appear regardless of whether or not you have selected specific facility types or facilities on the Event Types page.

To make a facility type available for an event type, highlight the name of the facility type in the left column (Available Facility Types) and click the right-pointing arrow to move it to the right column (Selected Facility Types).

To remove a facility type from an event type, highlight the facility type in the right column (Selected Facility Types) and click the left-pointing arrow to return it to the left column (Available Facility Types).

A list of all facilities that can be linked to event types. (you can click the Search by center dropdown to search for facilities under a specified center)

 

An event type can have multiple facilities and a facility can be linked to multiple event types.

 

To make a facility available for an event type, highlight the name of the facility in the left column (Available Facilities) and click the right-pointing arrow to move it to the right column (Selected Facilities).

Selected Facilities

Listbox

List of all facilities that have been linked to the event type.

 

To remove a facility from an event type, highlight the facility in the right column (Selected Facilities) and click the left-pointing arrow to return it to the left column (Available Facilities).

 

Note: You only need to select facilities here that are not included among the facilities that use the selected facility types above. The facilities in the Selected Facilities field attach to the event type in addition to the facilities included in the Selected Facility Types field.

Equipment Types

Available for All Equipment

Checkbox

If you want to display equipment filters on the public site when customers create online reservations using this event type, select this option.

 

When you select this option, equipment filters appear regardless of whether or not you have selected specific equipment types on the Event Types page.

A list of all equipment types that can be linked to event types (or daycare programs, membership packages or activities).

 

An event type can have multiple equipment types and an equipment type can be attached to multiple event types.

Selected Equipment Types

Listbox

List of all equipment types that have been linked to the event type.  

 

To remove an equipment type from an event type, highlight the equipment type in the right column (Selected Equipment Types) and click the left-pointing arrow to return it to the left column (Available Equipment Types).

Instructor Types

Available for All Instructors

Checkbox

Option to make this event type available for all instructor reservations.

 

If this option is not selected, then this event type is not available for any instructor reservations.
