League and tournament schedules

Setting up a schedule for a regular season or practice schedule for a specific league can be done by selecting the Manage Schedules link when editing the league details.

 

The same link is used to set up a single elimination or double elimination schedule for a specific tournament.

 

The Manage Schedules link only appears for child leagues and tournaments.

Prerequisite Components

Prior to setting up league or tournament schedules, the following data points must be configured:

Where are they found?

    1. Select the Administration tab.

    2. Select the following menu links: League Settings > Leagues.

    3. Search for and select the desired league or tournament.

    4. Select the Manage Schedules link.

How are they added or modified?

Note: The page names below depends on whether a league or tournament has been selected.

 

To add

From the League/Tournament Schedule Entry List page, clicking Add New brings you to the Change League/Tournament Schedule Entry page, allowing you to create a new record.

 

To modify

From the League/Tournament Schedule Entry List page, clicking an underlined schedule Title link displays a general information League/Tournament Schedule Functions page with several hyperlinks. These hyperlinks are for pages that allow you to address specific types of league/tournament schedule information:

 

The Change Schedule Details link for leagues displays the Change League Schedule Entry page with the league schedule details as defined below, with the option to Save or Delete the record at the bottom of the page.

The available options are:

  • Regular: Normal league schedule; two teams are scheduled to play against each other.

  • Practice: Practice schedule for teams; teams practice independently.

Schedule Limit Type Radio buttons

Option for how the schedule is limited.

  • Rounds: One round consists of games where each team plays every other team once.

  • Matches Per Team: The guaranteed number of matches that a team will be scheduled to play.

Number of Rounds or Matches Numeric

Depending on the selected schedule limit type, the number of rounds or matches to be scheduled.

 
Required and must be greater than 0.
Balance Schedule By Dropdown lists

The priority order for balancing the schedule based on:

  • Game Site: Attempts to balance based on game sites.

  • Day of the Week: Attempts to balance based on day of the week (for example: Monday, Tuesday etc.).

  • Time: Attempts to balance based on game start times.

  • Week: Attempts to balance based on games played in a given week.

Start Date Date

Date the schedule starts; entered in month, day, year format or by clicking the calendar icon and selecting a date from the pop-up calendar.

End Date Date

Date the schedule ends; entered in month, day, year format or by clicking the calendar icon and selecting a date from the pop-up calendar.

Required.
Only Use League Skip Dates Checkbox Option to only use this league’s skip dates as well as its parent’s skip dates; otherwise it will also include skip dates defined in Administration > System Settings > Skip Dates.
Schedule Baseball -Type Double Headers Checkbox

Option to schedule baseball-type double headers.

 
Baseball-type double headers are where the two teams play each other back to back alternating the home and away team.
Team Officiating Checkbox

Option to have games officiated by members of other teams.

 

Note: Either this checkbox or the Schedule Officials checkbox may be selected, but not both.

Schedule Officials Checkbox

Option to have games officiated by designated officials.

 

If selected, the Number of Officials Per Game field has to be greater than 0.

 

Note: Either this checkbox or the Team Officiating checkbox may be selected, but not both.

Spread Bookings Evenly Over Full Range of Potential Game Dates Checkbox

Option to spread bookings evenly over the full range of potential game dates.

 
If this option is not selected, bookings will be made starting at the beginning of the range of potential game dates (and might not be evenly spread out).
Show Online Checkbox Option to show this schedule on the customer (public access) site.
Number of Officials Per Game Numeric Number of officials required per game if designated officials are selected to officiate games.
 
Value must be greater than 0 if Schedule Officials checkbox is selected.
Number of Matches Per Week Numeric

Maximum number of matches per team that may be scheduled in a given week.

 
If the schedule can’t meet this requirement, a warning will be displayed.
Number of Matches Per Day Numeric

Maximum number of matches per team that may be scheduled in a given day.

 
If the schedule can’t meet this requirement, a warning will be displayed.
Duration of Games Numeric

Length of games in minutes.

 
Required and must be greater than 0 minutes.
Calendar Code Text Code that will appear for scheduled games on calendar reports.
Bye Text Text

Text that will appear for scheduled byes.

 
Byes occur when a team does not have an opposing team to play, therefore they automatically advance without playing a game.

League Officials

Use Team Home Locations

Checkbox

Selecting this checkbox results in the 'home' locations being automatically listed in the Select Games Sites list.

Available Officials

Listbox

List of available officials who can be assigned to officiate games in the league schedule.

 

Select a desired official, then click on the right-arrow button to add to the Selected Officials listbox on the right.

Selected Officials Listbox

List of officials already assigned to officiate games in the league schedule.

Select a desired official, then click the left-arrow button to remove from the Selected Officials listbox.

League Dressing Room Options

Allow Dressing Rooms Assignments? Checkbox

Select this to enable assignment of dressing rooms to games.

Default Dressing Room Reservation Start Minutes Before Game Numeric Default number of minutes to reserve a dressing room before the start of a game.
Default Dressing Room Reservation End Minutes After Game Numeric

Default number of minutes to reserve a dressing room after the end of a game.

Title Text

The name of the tournament schedule.

Schedule Type Radio buttons Type of schedule to create.

  • Single eliminations: a team is eliminated after losing a single game.

  • Double eliminations: after a team's first loss, they are placed on the losing bracket. If they lose a second time, they are eliminated from the tournament.

Start Date Date
