Specifying facility, equipment, or instructor hours of availability

You can use facility hours to specify operating hours for specific date ranges. This allows you to define different facility hours for different seasons or operating periods.

Any defined facility hour record will override the facility's default operating hours. For example, the facility's normal hours may be from 10am-10pm for most of the year, but can shortened for December to 11am-5pm by defining a facility hour record for December. Facilities may also have split hours of operation.

1. Choose one of the following:

• Specify facility hours.

  1. Go to Administration > Facility Settings > Facilities.

  2. Search for and select the facility that you want to modify.

  3. Click Change Facility Hours.

  4. Choose one of the following:

  • To add a new set of hours, click Add New.

  • To modify an existing set of hours, click the Description of the hours that you want to modify.

  5. Enter a Description for the available hours.

  6. In the When (Dates) section, enter the Start Date and End Date for the available hours.

  7. In the Hours of Operation (overriding facility's default hours) section, enter the Opens and Closes times for the days of the week that you want to modify.

• Specify equipment hours.

  1. Go to Administration > Equipment Settings > Equipment.

  2. Search for and select the equipment that you want to modify.

  3. Click Change Equipment Hours.

  4. Choose one of the following:

  • To add a new set of hours, click Add New.

  • To modify an existing set of hours, click the Description of the hours that you want to modify.

  5. Enter a Description for the available hours.

  6. In the When (Dates) section, enter the Start Date and End Date for the available hours.

  7. In the Hours of Operation (overriding facility's default hours) section, enter the Opens and Closes times for the days of the week that you want to modify.

• Specify instructor hours.

  1. Go to Administration > Registration Settings > Instructors.

  2. Search for and select the instructor that you want to modify.

  3. Click Change Available Hours.

  4. Choose one of the following:

  • To add a new set of hours, click Add New.

  • To modify an existing set of hours, click the From Date or the To Date of the hours that you want to modify.

  • To approve an existing set of hours:

  1. Select the checkbox for the hours that you want to approve.

  2. Click the Approve button.

  Note: Hours that are not yet approved (i.e. hours that are either unconfirmed or confirmed but not approved) are not available for booking. You cannot copy or batch copy non-approved hours. Once you approve a set of hours, the instructor can no longer modify those hours on the public site.

  5. In the When (Dates) section, enter the From Date for the available hours.

  6. Enter either the Number of Weeks or the To Date in order to define the end date of the date range.

  7. To override the maximum number of pre-booked lessons per enrollee for this instructor (specified on the Private Lesson Configuration page for each activity), enter a new maximum number in the Default # of Pre-booked Lessons Override Value box.

  8. In the Instructor Available Hours section, enter the Starts and Ends times for the days of the week that you want to modify.

2. Click Save.
